ludHOS Privacy Policy (Payments & Billing)

1. Overview and Scope

ludHOS ("ludHOS," "we," "us," or "our") is the business that operates Torchpost and publishes Games Without Borders on Substack. This Privacy Policy explains how ludHOS collects, uses, discloses, and safeguards personal information in connection with purchases, subscriptions, and payments made through ludHOS's Stripe account.

This Policy is specific to the commercial/billing relationship between you and ludHOS. It sits alongside, and does not replace, the privacy policies that already govern your use of ludHOS's individual products:

  • Your use of the Torchpost platform (campaigns, messaging, content, community features) is governed by the Torchpost Privacy Policy.

  • Your use of Substack as a reader or subscriber (your Substack account, saved payment methods, reading activity, comments) is governed by Substack's own Privacy Policy, since Substack operates that platform.

Where this Policy and a product-specific policy both address billing data, this Policy controls.

2. Products Covered

ludHOS currently processes payments, through a single Stripe account, for:

  • Torchpost — month-to-month subscription access to the Torchpost platform

  • Games Without Borders — paid Substack newsletter subscriptions

This Policy applies to both.

3. Information We Collect

3.1 Billing and Account Identifiers

  • Name

  • Email address

  • Billing address (where collected)

  • Product/plan purchased

  • Transaction and subscription history (amounts, dates, status)

3.2 Payment Information

ludHOS does not collect or store your full card number, CVC, or other sensitive card details. Payment information is entered directly into Stripe's checkout and is processed and stored by Stripe. ludHOS receives limited billing data from Stripe, such as:

  • Transaction and payout IDs

  • Subscription status (active, canceled, past due)

  • Card brand and last four digits (for receipts and support)

  • Billing name and email

3.3 Communications

  • Billing-related support requests

  • Responses to payment-failure or renewal notices

3.4 Fraud-Prevention Data

Data Stripe shares with ludHOS to help identify potentially fraudulent transactions (e.g., transaction risk signals).

4. How We Use Information

ludHOS uses billing information to:

  • Process and manage subscriptions and payments

  • Send receipts, renewal notices, and payment-failure notices

  • Provide billing-related customer support

  • Detect and prevent fraud

  • Meet tax, accounting, and legal obligations

  • Grant or revoke access to the correct product (Torchpost or Games Without Borders) based on subscription status

5. Stripe, Our Payment Processor

All payments are processed by Stripe, Inc. ("Stripe"). For payment data Stripe collects directly from you (such as your card number), Stripe acts as an independent controller in addition to processing that data on ludHOS's behalf. Stripe's handling of your data is governed by Stripe's own Privacy Policy: https://stripe.com/privacy

By making a purchase, you also agree to Stripe's applicable terms.

6. Games Without Borders (Substack) Subscriptions

Games Without Borders is published on Substack. When you subscribe:

  • Substack operates the subscription checkout, your Substack reader account, and content delivery, and is itself a data controller for that account and activity data (e.g., your login, saved payment method used across publications, reading and comment history). That data is governed by Substack's own Privacy Policy, not this one.

  • Payment for your subscription is processed through ludHOS's Stripe account — the same account used for Torchpost. As a result, ludHOS receives the same categories of billing and transaction data described in Section 3 for Games Without Borders subscriptions as it does for Torchpost subscriptions.

This Policy governs ludHOS's handling of that billing data. It does not extend to how Substack handles your reader account or activity on its own platform.

7. How We Share Information

ludHOS does not sell your personal information. We share billing information:

  • With Stripe, to process payments (Section 5)

  • With Substack, to the extent necessary to operate Games Without Borders as a paid publication (Section 6)

  • With accounting, bookkeeping, or tax professionals, as needed to meet legal obligations

  • Where required by law, or to protect ludHOS's rights, users, or the integrity of our products

  • In connection with a merger, acquisition, or sale of business assets

8. Data Retention

ludHOS retains billing and transaction records for as long as needed to maintain accurate accounting and tax records (generally at least six years, consistent with Canadian tax recordkeeping practice), resolve billing disputes or chargebacks, and meet other legal obligations.

9. Your Rights

Depending on your location, you may have the right to access, correct, or request deletion of billing information ludHOS holds about you, subject to what we're legally required to retain for accounting or tax purposes. To exercise these rights, contact: contact.ludhos@gmail.com

10. International Data Transfers

Stripe and Substack operate infrastructure in multiple countries. Your billing information may therefore be processed outside your home jurisdiction, including in the United States and Canada. Appropriate safeguards are used where required.

11. Children's Privacy

ludHOS's paid products are not directed to, and are not intended for use by, children under 16. ludHOS does not knowingly collect billing information from children.

12. Changes to This Policy

ludHOS may update this Policy from time to time, reflected in the "Last Updated" date above. For material changes, ludHOS will provide at least 14 days' notice by email or prominent notice before the changes take effect.
